These terms apply to every child registered with ACE Academy, operated by ACE Sports in Doha, State of Qatar. By registering a child you confirm that you are their parent or legal guardian and that you accept these terms on their behalf.
1.Data protection and privacy
ACE Academy collects and processes your personal information and your child's in the ways described here.
We use this information to:
- Verify membership and confirm who may collect a child.
- Record attendance, testing results and coach notes, and show them to you in your parent portal.
- Produce the monthly progress report for your child.
- Compile anonymous statistics about the academy's programmes.
- Contact you about your child's sessions, academy news, offers and updates.
ACE Academy does not sell or rent your personal information, or your child's, to any third party. By registering you consent to ACE Academy and its authorised staff using the information for the purposes above.
2.Data quality and security
We apply security measures to protect the data under our control against loss, destruction, manipulation, misuse, unauthorised access, alteration or disclosure, and we improve those measures as better methods become available.
You are responsible for keeping your account password confidential. ACE Academy is not liable for loss, misuse or disclosure that results from your failure to keep it secret. Tell us immediately if you believe someone else has access to your account.
3.Seeing, correcting and deleting your information
Write to us at hello@acesports.qa to:
- Ask what information we hold about you or your child.
- Correct information that is wrong or out of date.
- Ask us to delete personal data from our records.
- Unsubscribe from academy news and updates.
- Raise a complaint about how we have handled personal data.
Some records — attendance and payment history in particular — may be kept for as long as the law requires, even after an account is closed.
4.Release of liability
As the parent or guardian of the registered child, you confirm that the information you have given is accurate and complete, including anything about your child's health that could affect their safety in training.
You agree that your child may take part in ACE Academy activities anywhere in the State of Qatar — regular sessions, trial sessions, holiday camps, testing days and special events — and may use academy sports equipment.
You agree not to hold ACE Academy, ACE Sports, or their coaches, employees, contractors, partners, affiliates or venue providers liable for loss, injury, damage or death suffered while taking part in academy activities, except where it is caused by the direct and serious fault of ACE Academy. Nothing in these terms excludes liability that cannot lawfully be excluded under the laws of the State of Qatar.
5.Photography and media consent
Photographs and video may be taken of your child during sporting activities and used to promote the academy on:
- The ACE Academy website and gallery
- Social media accounts
- Press releases and articles
- Newsletters sent to families
- Television coverage
- Local and international print and digital media
We never publish a child's full name alongside their picture. If you do not want your child photographed, write to hello@acesports.qa and we will record your refusal — this clause then does not apply to your child. You may withdraw consent at any time; we will stop using new material immediately and remove existing material wherever it is reasonably practicable to do so.
6.Fees and payment
- A receipt is issued as confirmation of every booking.
- Fees for any ACE Academy programme — monthly, term, annual or camp — must be paid in full before the programme begins.
- A one-time joining fee applies to a child's first registration and covers kit and registration. It is waived on annual plans.
- If registration fees are not paid, the registration is cancelled automatically and the child may not attend sessions.
- A child with fees outstanding from a previous ACE Academy programme may not register for a new one until the balance is settled.
- The first session is free. No payment is required to attend a trial.
7.Refunds
Unless we state otherwise in writing, all fees are non-refundable — including where a child is absent from sessions they were registered for.
8.Absences, cancellations and make-up sessions
If your child misses a session, we do not refund it or replace it, except where the absence is due to illness. For an illness absence:
- Tell us in advance wherever possible.
- Provide a medical report or other acceptable proof.
- We will offer a make-up session within the same programme where one is available.
A make-up session cannot be carried over to another term. In the academy's records the original absence remains recorded as an absence, and the make-up is recorded separately.
Sessions run whatever the weather unless we announce otherwise. If ACE Academy cancels a session, we schedule an alternative; if your child cannot attend that alternative, no further replacement is offered.
Where a cancellation is caused by events outside our control — natural disaster or flooding, war or civil unrest, strikes, epidemic or pandemic, terrorist attack, or government restrictions — a replacement session is not guaranteed. ACE Academy may, at its discretion, issue a voucher or credit usable in the ACE shop or against an ACE Academy programme before the end of the current season.
9.Health and safety
You authorise ACE Academy to arrange emergency medical or ambulance treatment for your child if it is needed, and you agree to meet the cost. We will contact you as soon as we possibly can.
- Children must wear suitable clothing and footwear for training.
- The official ACE Academy uniform must be worn in all programmes, except trial sessions.
- The academy does not provide food or drinks. Please send your child with fluids — water is best.
- Sessions run in the evening, with shade and hydration breaks, in line with our heat protocols.
- Parents and guardians may not enter the pitch or hall during a session.
- For everyone's safety, keep away from equipment that is not in use.
10.Liability on site
ACE Academy is not responsible for injuries sustained by parents or guardians while on site, except where caused by the serious fault of the academy.
Jewellery must not be worn during sessions. ACE Academy is not responsible for jewellery or other valuables brought to the site and lost or damaged.
11.Respect and conduct
Every child must treat others with respect, whatever their gender, culture, religion, ability or background. This is the first thing we teach: we develop humans, then leaders, then winners.
Children must also respect academy equipment and venues, and must not damage them deliberately or through carelessness. Serious or repeated breaches may lead to a child's place being withdrawn without refund.
12.Illness and hygiene
To protect players, coaches and families, we follow health measures in line with the guidance of the Qatari authorities. These may be tightened at any time if the authorities require it.
- A child who feels unwell must stay at home.
- Hand sanitiser is available at every session.
- Coaches sanitise shared equipment before and after each session.
- Parents must drop off and collect children on time.
13.Changes and governing law
ACE Academy may change these terms and its data protection policy when necessary, subject to any approval required by the relevant authorities. We will publish the updated version on this page and change the effective date at the top.
These terms are governed by the laws of the State of Qatar, and the courts of Qatar have jurisdiction over any dispute arising from them.
